What you'll accomplish
By the end of this guide, you'll have a custom ChatGPT assistant pre-loaded with your state's requirements, your communication preferences, and your most common transaction scenarios. Instead of re-explaining your context every session, your assistant already knows who you are and what you need — producing faster, more accurate results every time you use it.
What you'll need
Go to chat.openai.com. If you already have a free account, click "Upgrade to Plus" in the left sidebar. Enter your payment info. You'll be charged $20/month.
What you should see: The "Plus" badge appears next to your name in the top right corner.
In the left sidebar, click "Explore GPTs" → then click "Create" (top right corner of the GPT store page).
The builder opens with two panels: "Create" (chat-based builder on the left) and "Preview" (your GPT as it will appear on the right).
Troubleshooting: If you don't see "Create," make sure you're logged in with a Plus account — Custom GPT creation requires Plus.
In the Create panel, the AI builder will ask you to describe what your GPT does. Type:
"I'm a real estate transaction coordinator. I need a GPT that helps me draft emails, summarize documents, create checklists, and answer questions about the contract-to-close process. It should know I work in [YOUR STATE], use [YOUR PRIMARY PLATFORM — e.g., Dotloop], and that my tone is professional but warm."
The builder will suggest a name (like "TC Assistant") and a profile image. Accept or customize.
Click "Configure" at the top of the Create panel. This opens the detailed settings.
In the "Instructions" box, paste and customize this template:
You are a Transaction Coordinator Assistant specializing in residential real estate in [YOUR STATE].
Role context:
- I coordinate transactions from contract acceptance to close of escrow
- I work with buyers, sellers, listing agents, buyer's agents, lenders, title companies, and escrow officers
- I typically manage 15-25 active transactions at once
- My tone is professional, warm, and clear — never use jargon clients won't understand
Key state-specific rules I follow:
- [ADD YOUR STATE'S REQUIRED DISCLOSURES — e.g., "California requires TDS, NHD, SPQ, Agent Visual Inspection Disclosure"]

My most common tasks:
- Drafting status update emails to buyers, sellers, and agents
- Writing document request follow-ups at various urgency levels
- Creating deadline checklists from contract terms
- Summarizing inspection reports in plain language
- Drafting repair request addendum language (always note these are drafts for agent review)
Communication preferences:
- Emails: professional but conversational, 3-4 paragraphs max, clear subject lines
- Client explanations: simple language, avoid jargon, friendly tone
- Formal documents: neutral, specific, no legal representations
Always remind me when drafting legal-adjacent content (addenda, disclosures) that I should have the agent or managing broker review before sending.
Click "Save" → choose "Only me" for privacy → click Confirm.
Your GPT now appears in your left sidebar. Click it to start a conversation. Test it with a real task:
"Draft a status update email to a buyer named Kevin whose property at 892 Pine Street just had the appraisal ordered. Expected results in 5-7 business days. Closing target is April 12."
What you should see: A contextually aware email that doesn't need any extra explanation — it already knows your state, your tone, and your role.
For status updates: "Draft a status update email to [PARTY] for [ADDRESS]. Current stage: [STAGE]. Next milestone: [DATE/WHAT]. Any issues: [YES/NO + DETAILS]."
For follow-ups: "Write a follow-up for [DOCUMENT] from [PARTY] at [ADDRESS]. Attempt #[N]. Deadline: [DATE]. Urgency: [low/medium/high]."
For inspection summaries: "Summarize these inspection findings for a first-time buyer. Group by severity. [PASTE FINDINGS]"
For checklists: "Create a transaction deadline checklist. Contract date: [DATE]. Inspection period: [X] days. Appraisal: [X] days. Loan: [X] days. COE: [DATE]."
